Position Overview
The Assistant to the President, Scholarship Administration & Information Manager provides administrative support to the Office of the President, the OFIC Board of Trustees and its committees. As needed, assists in the coordination and administration of information, materials, meetings, events, and tasks in support of the OFIC president.
This role also provides management and leadership of information services including the OFIC database, liaison with external IT support firm, office telephones, etc. Serves as an Information Manager, tasked with maintaining data integrity and hygiene of the OFIC trustee and campus accounts and contacts in Salesforce database. As a member of a three-person team led by the Manager of Scholarship Services, this position will manage nomination-based scholarship processes and provides support to specific scholarship programs as directed. The position is responsible for daily OFIC gift and pledge entry, processing pledges and checks via bank web portal.
Position is full-time (40 hours a week), Monday through Friday, eligible for a hybrid remote work schedule, and reports to vice president of operations. Salary range is $60,000-$65,000.
Responsibilities
The Assistant to the President and Scholarship Administration & Information Manager supports OFIC’s President, scholarship team, data management, and other initiatives. Key duties include:
Assistant to the President:
Serves as liaison for the President’s office, representing the President to trustees, prospects and donors; promotes positive working relationships.
Assists in coordination and direction of events, including OFIC Board meetings and related activities, as directed by the President. Activity includes surveying invitees for availability and scheduling meetings.
Maintains rosters and listings as required for the OFIC Board of Trustees, including all Board committees.
Coordinates materials and production of information for the OFIC Board of Trustees and committee meetings; and prepares minutes of meetings to represent activities and actions of the OFIC Board and its committees.
Oversees electronic filing and data housed in computerized systems for the Office of the President, the OFIC Board of Trustees, and its committees.
Maintains confidentiality relative to staff, campus communication, donors and trustee information.
Works cooperatively with OFIC staff colleagues and the staffs of our 31-member campuses.
Other duties may be assigned.
Information and Scholarship Manager:
Supports the maintenance of the OFIC trustee, campus and scholar database; leads the record upkeep for campus and trustee contacts and accounts.
Processes incoming payments into the OFIC database, ensuring gift details are captured for gift records and campaign reconciliation.
Manages the nomination-based scholarship process; including nominations file request and processing, scholar selections, communications to campuses, and as needed, scholarship student replacements.
Aid with application-based scholarship programs through committee review, ratings, and scholar award data entry and tracking.
Provide support to scholarship processes including monitoring incoming scholarship questions, award notifications, scholarship agreements, scholar data updates, and other duties as assigned.
Qualifications:
Bachelor’s degree preferred; relevant work experience may be substituted. Minimum three to five years previous administrative experience and significant experience with information and project management, preferably in nonprofit or higher education organization. Outstanding grammar and spelling; strong verbal and written communication skills; proficient use of computer software (Microsoft 365 suite of products, Word, Excel, PowerPoint, and Salesforce or other CRM); attentive to detail and highly organized; able to work within timelines and independently to complete assigned tasks; successful leadership roles; sense of humor, cooperative attitude with ability to appropriately and effectively represent OFIC to corporate and foundation executives, donors, and campus presidents and their staffs.
