Position Summary:
This position coordinates information and activities as they relate to OFIC scholarship programs (The Ohio Scholars Program and Scholarship Management Resources). The Manager of Scholarship Services works in concert with fund-raising staff and donors to develop scholarship criteria and funding agreements; maintains necessary database records for assignment/tracking of scholarship recipients and reporting; acquires information for development/preparation of written scholarship funding proposals and on-line applications; participates in organization of scholarship program events; works with internal staff and external constituents to implement web-based scholarship application processes.
The position is full-time (40 hours/week), Monday through Friday, and reports to the Vice President of Operations. After an onboarding period and at the discretion of the supervisor, the position may work remotely, but the expectation is that the person in this position will live in Ohio and participate in OFIC events and staff activities typically held in central Ohio.
Responsibilities:
Within the limits of authorized corporate policies, procedures, programs and budgets, is responsible for and has commensurate authority to accomplish the following duties:
1. Serves as administrator for The Ohio Scholars Program, including the coordination, dissemination and follow-up on information to member colleges, donors and students, as related to the assignment of students funded by OFIC scholarships, and includes:
Developing scholarship proposal content and coordinating preparation/distribution of same; securing documentation for funding
Verifying available scholarships (donor type, funding amounts) and maintaining a tracking log
Verifying scholarship criteria in advance of notice to colleges/universities
Preparing and distributing scholarship notices to member colleges; organizing for selection
Participating in meetings relevant to the scholarship selection/assignment process
Preparing listings of final selections and notifying donors, colleges/universities, students; following up to secure pertinent information and/or resolving problems related to assignments
Communicating with donors/colleges to coordinate scheduling of presentations and participating in presentations as necessary
2. Promotes positive donor relations by providing student recipient information and responding to requests; works with sponsoring donor personnel to promote special activities and/or events that require participation (contact/coordination) with OFIC.
3. Promotes goodwill between OFIC donors and member colleges/universities through harmonious, positive interaction.
4. Serves as staff liaison to the OFIC Scholarship Committee and coordinates meetings/information as necessary to expedite student selections.
5. Maintains program information databases and tracking systems for student/donor records and pertinent facts on past/current scholarship donors/recipients.
6. As necessary, assists the President and/or fund-raising staff in promoting OFIC scholarship programs to targeted groups via presentations and/or participation in external meetings.
7. As it relates to Scholarship Management Resources, works with OFIC staff to develop service agreements, reviews administrative activities involved in carrying out individual program agreements, and participates in the process of pricing administrative services used in determining administrative fees.
8. Works closely with the Vice President of Operations in the interpretation of special funding criteria to ascertain outside legal opinions, when necessary, and to reconcile scholarship distributions and administration fees associated with The Ohio Scholars Program and Scholarship Management Resources.
9. Supervises scheduling, activity and performance of administrative support staff involved in the annual student scholarship process.
10. Tracks and coordinates scholarship payments to campuses.
11. Builds, maintains, and manages the OFIC scholarship application process including online applications and forms.
Requirements:
Bachelor degree or previous relevant experience, including administrative/business office experience (college-based student services/financial aid preferred). Proficient in use of software and computer applications, including web-based and internet applications; attentive to detail and highly organized; able to work independently and effectively manage timelines; ability to appropriately/effectively represent OFIC to external constituents.
