Position Overview
The Office and Administration Coordinator provides administrative, customer service, and coordination support across OFIC operations, with particular focus on scholarship administration, office management, and event coordination. This role serves as a key point of contact for general inquiries and supports the daily functioning of the OFIC office at Otterbein University’s The Point. The position works collaboratively with the scholarship administration team and other staff to ensure efficient operations and a positive experience for students, donors, and partners.
This position is eligible for a hybrid work schedule, with 2–3 days per week required in the office. The role reports to the Vice President of Operations.
Responsibilities
Office Administration & Customer Service
Serve as the primary administrator for the OFIC office at Otterbein’s The Point, managing mail, phones, office supplies, and in-office project support as needed.
Manage general inquiries via email and phone, providing timely, professional, and customer-focused responses.
Maintain a welcoming and service-oriented approach when interacting with staff, students, donors, trustees, and member campuses.
Oversee inventory of general office supplies and printed materials, maintaining systems to track usage and replenish stock as needed.
Serve as the primary contact for copier and postage meter equipment, including initiating service calls when required.
On a rotating basis, pick up, process, and distribute daily mail.
Scholarship Administration Support
Provide administrative support for OFIC scholarship programs, including the Ohio Scholars Program and Scholarship Management Resources.
Perform scholarship data entry and record maintenance in Salesforce, including application tracking and reporting support.
Assist with scholarship application review processes and coordination of student information.
Coordinate student thank you letter projects and related donor and student communications.
Support the scholarship administration team with additional projects as assigned.
Support additional operational areas as assigned, such as Salesforce and Experience Cloud support.
Events & Meetings
Assist, as part of a team, with planning, logistics, and execution of OFIC events, including but not limited to the OFIC Spring Awards Luncheon, bi-annual Board of Trustee meetings, regional trustee, donor/student, and campus career center events.
Support event communications, registration tracking, catering and event sponsor coordination, and on-site or virtual execution as needed.
Work cooperatively and responsively with OFIC staff, trustees, and member campuses to support organizational priorities.
Maintain confidentiality of staff, student, donor, and institutional information.
Perform other duties as assigned.
Qualifications:
Bachelor’s degree preferred; relevant experience may be substituted.
Minimum of two years of prior administrative experience, preferably in a nonprofit, fundraising, or higher education environment.
Strong customer service skills with the ability to manage inquiries professionally and effectively.
Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with Salesforce or similar CRM systems preferred.
Excellent organizational skills, attention to detail, and ability to manage multiple priorities and deadlines.
Ability to work both independently and collaboratively as part of a team.
Strong interpersonal and communication skills and a sense of humor.
Position Details
Hourly rate: $30 per hour.
Hours: 30 hours per week.
Pay schedule: Bi-weekly, processed through ADP.
Employment status: Ongoing part-time position (not seasonal).

Benefits: OFIC provides limited dental and vision coverage at no cost to the employee. Health insurance is not offered. 15 days paid vacation annually, accrued each pay period, and 14 paid holidays.
